Tie each sample review to drawing and material revisions. Record colour, grain direction, sheen, edges, joints, hardware operation and internal storage. Keep approvals, changes and open questions distinct. Identify sample numbers and lighting in photographs; screen colour alone should not define final colour acceptance.
Observe under stated conditions
Label the physical sample and photograph it under documented lighting. Record texture, edge appearance, sheen and the relationship to adjacent finishes; screen images remain a reference.
Record the decision as well as the image
A review record should show who reviewed which revision, what was approved, what needs changing and what remains open. An attractive photograph alone is not an approval record.
