A warm timber appearance does not identify the substrate, veneer, laminate or coating. Record the base material, visible finish, edge treatment and hardware as separate fields before comparing proposals.
Link every claim to its document
If a project needs a particular performance, identify the exact product, report scope and applicable conditions. Do not transfer a certificate or sample result to another material simply because the colours look similar.
Record substitutions explicitly
A proposed substitute should show what changes in construction, appearance and documentation. Keep approval and any price or programme effect beside that proposal rather than silently changing the schedule.
A finish name is not a complete construction
Separate the substrate, facing, surface finish, edge treatment and hardware. A colour or wood-grain appearance can be shared by different constructions, so the selected image is not sufficient material evidence.
Ask what the document actually covers
Identify the product or material named in a report, the stated scope and the conditions relevant to the request. The company-supplied materials do not justify applying one environmental or performance grade to every furniture item.
Record substitutions as changes
When an alternative is proposed, state the affected item and any difference in construction, appearance or supporting documents. Preserve the decision and its effect on the proposal rather than silently changing the material name.
